Job Description

Facilities and Office Manager

My client is a well established business based in Aylesbury, Bucks who are currently seeking an experienced person who has experience of managing the facilities of their building, Office Management and HR.

The company employ 29 people in premises scanning 16,500 sq ft.  This is a busy and diverse role and responsibilities will include:-


  • Managing all contractors including window cleaners, Air Conditioning, Electrical contractors (PAT testing), Security Alarms, Heating, Access Control systems etc
  • Dealing with Utilities companies, Business Rates, Water companies
  • Liaising with the managing agents
  • Ensuring the smooth running of the building

Health & Safety

  • Carrying out risk assessments and DSE assessments for internal staff
  • Organising eye tests where necessary and ordering new furniture when required
  • Fire safety, fire drills, managing extinguishers etc
  • First Aider and training for others
  • Maintaining accident records

Office Management

  • Overseeing the company car fleet, organising servicing, MOT’s, Tax etc
  • Managing the post
  • Ordering office supplies and office equipment
  • Management of the phone systems, IT (dealing with the external contractors)
  • Dealing with photocopier contracts, maintenance etc
  • Purchasing business cards etc
  • Managing the refuse collections and recycling
  • Occasionally booking overseas travel


  • Maintaining HR records, staff handbook, terms and conditions and training records
  • Managing recruitment
  • Monitoring holiday and sickness records
  • Co-ordinating the appraisal system
  • Inductions
